Position Summary

The Medical Staff & Clinic Operations Supervisor is responsible for overseeing front office operations, referral coordination, and administrative support functions for all Rural Health Clinics (RHCs) under John C. Fremont Healthcare District. This position ensures smooth clinic workflows, high-quality patient access, exceptional customer service, accurate registration, and effective scheduling.

In addition to supervising front desk and referral staff, this role manages credentialing, privileging, and reappointments for medical staff and allied health professionals in compliance with CMS, Title 22, and Joint Commission/NCQA standards. The Supervisor organizes medical staff meetings, maintains credentialing files, tracks expirations, and serves as a liaison between medical staff, administration, and clinic operations.

Your supervision will directly support clinic efficiency, provider readiness, and regulatory compliance while promoting a culture of continuous improvement and teamwork.

Key Responsibilities

Supervise front desk and referral staff, ensuring accurate scheduling, registration, and insurance verification.

Oversee referral tracking, co-pay collection, and patient communication.

Maintain accurate provider credentialing files and track expirations (licenses, DEA, malpractice, CME, etc.).

Coordinate Medical Staff meetings, prepare agendas, minutes, and follow-up documentation.

Ensure compliance with medical staff bylaws, rules, and regulations.

Serve as liaison between medical staff, administration, MEC, and Governing Board.

Lead daily huddles, oversee workflows, and implement process improvements.

Train, coach, and evaluate staff to support professional growth and accountability.

Provide supervision reports to administration on credentialing, staffing, and operational performance.

Minimum Qualifications

High school graduate or equivalent; Associate’s or Bachelor’s degree preferred.

2+ years of clerical or administrative experience in a medical office.

At least 1 year in a supervisory or lead role.

Experience with EMR/EHR systems.

Preferred: CPSC and/or CPMSM certification.
